Coordinator, Fleet
The Coordinator, Fleet works closely with internal and external stakeholders to coordinate a variety of activities pertaining to fleet sales and dealer trades. The key responsibilities of this position include placing orders, sourcing the vehicles, handling the vehicle logistics (coordinating deliveries and delivery detail), as well as planning and organizing industry events. The position also entails supporting sponsorship events in vehicle preparation as well as rebate claim processing.
This role reports to the Sr. Director, Vehicle Operations & Fleet and is based at Subaru Canada’s head office in Mississauga, Ontario.
The hiring range for this role is $60,000-$65,000 CAD. The initial base salary offered may vary depending on internal equity and each candidate’s job-related knowledge, skills and professional experience. This recruitment is to fill a vacant position.
Primary Job Responsibilities:
- Coordinate fleet sales processing between clients and Subaru Canada, Inc. (SCI) departments including new vehicle ordering, sourcing vehicles, order tracking, handling vehicle logistics and reporting status to clients and management.
- Coordinate Government sales with Public Works and other governmental agencies. Set pricing in the system, place orders, move the vehicle, track orders, prepare related documentation and respond to inquiries.
- Research, compile, and coordinate information to prepare fleet order guides and to update fleet web site.
- Verify and arrange correction of commercial Retail Delivery Reports (RDR) on a weekly basis. Make necessary adjustments.
- Provide ongoing fleet support to Fleet Managers including but not limited:
- vehicle sourcing and coordination of dealer trades
- receive and assign web-based leads
- respond to inquiries when the Fleet Managers are out of office
- Assist with the organization of SCI’s participation in industry ride-n-drive events including one annual SCI controlled & organized Fleet drive event.
- Coordinate and administer the demonstrator fleet including delivering vehicles to clients and fleet maintenance.
- Provide detailed monthly reports and analysis on various fleet sales types.
- Maintain/update SCI Fleet account database, including the set-up of new accounts.
- Provide support to sponsorship activities regarding coordination of display units, demos, and also processing of rebate claim forms related to such programs.
- Administer the Courtesy Car, Body Shop Loaner and related programs.
- Manage and process reports related to all claims for fleet/Daily Rental, Courtesy Car, etc.
- Other duties as assigned.

Qualifications:
- Post-secondary education in Business Administration, Automotive Business, Supply Chain Management, Marketing, or a related field is preferred.
- Previous experience in fleet operations, automotive industry, or sales coordination considered an asset.
- Equivalent combination of education and relevant work experience may be considered.
- Although not required, Bilingual (French & English) is strongly preferred.
- Proficiency in Microsoft Office Suite and ability to learn proprietary internal systems.
- Valid driver’s license (Full G).
Physical Conditions:
- Occasional overtime and weekend work may be required.
- Primarily sedentary work with extended periods of computer and telephone use.
- Occasional travel may be required.
